1. How is the Annual Support & Maintenance Renewal calculated?
Support renewal is approximately 20% of the current list price of the product for each perpetual license.
Renewal is not based on what you originally paid, and not based on the number of licenses you actively use.
It is based on:
- the current product price, and
- the number of active licenses in your entitlement.
This is a standard approach used by most software vendors in a similar industry.
2. Why is renewal based on the current product price?
Because Support & Maintenance gives you:
- the latest versions
- new features
- bug fixes
- security patches
- compatibility updates
- technical support
These benefits are tied to the current value of the product, not the price at the time of purchase.
Using current list price for renewal is industry-standard among modern software vendors, especially developer tools and data-integration products.
3. Why is renewal not based on current usage?
Perpetual licenses are tied to your entitlement, not usage.
- Usage may fluctuate
- Seats may be rotated internally
- Vendors cannot track real machine-level usage
- Support is delivered for all seats included in the entitlement
For this reason, Support & Maintenance is calculated based on the number of active licenses in your entitlement, independent of how many you currently use.
4. Can we reduce our renewal cost if we no longer use some licenses?
Yes.
If you want to reduce your renewal cost, unused licenses must be permanently deactivated and surrendered.
This is done on your side using the ZappySys License Manager.
Once a license is deactivated:
- the License Manager generates a Deactivation Code
- you send the code to ZappySys
- the license is permanently removed from your entitlement
- it cannot be used or activated again
- restoring it in the future requires purchasing a new license at the current price
This process ensures that license reductions are intentional and verifiable. Because surrendering licenses is irreversible, most customers prefer to maintain their full entitlement to avoid losing capacity in the future.
5. Why does deactivation have to be done on our machine?
Because the deactivation step:
- confirms the license is actually unused
- guarantees the surrender is permanent
- prevents accidental or temporary reductions
- avoids reactivation without a new purchase
This is common among software vendors who issue machine-based or activation-based license keys.
6. Can we reduce renewal cost without deactivating licenses?
No.
Renewal reductions are only possible after a license is properly deactivated and surrendered using a deactivation code generated by your License Manager.
Verbal statements or internal “not using it” claims cannot be used to lower renewal cost.
7. What if we purchased multiple licenses in a single large order?
All licenses within one order share:
- the same entitlement
- the same renewal date
- the same renewal calculation (approx 20% of current list price × license count)
If you want to reduce seats within that order, unused licenses must be individually deactivated and surrendered.
8. What if we want more flexibility? Can we buy licenses in separate orders?
Yes.
Buying licenses in separate orders creates separate entitlements, each with its own renewal.
This gives you more flexibility to renew or drop support for specific orders independently.
Some customers prefer:
- one large consolidated order for simplicity
- multiple smaller orders for flexibility
Both approaches are fully supported.
9. Advantages of ordering multiple licenses together

10. What happens if we do not renew Support & Maintenance?
You may continue using the perpetual version you already own, but you lose:

Returning to support later may require back-pay or purchasing new licenses at the current price.
11. Can a surrendered license be reactivated later?
No.
Once surrendered with a deactivation code:
- the license is permanently retired
- it cannot be activated again
- regaining that seat requires purchasing a new license at the current list price
